Fill properties faster, with fewer leads gone cold

Fashti runs the leasing journey from the first inquiry to a signed agreement, at the speed renters now expect and at the hours they actually search.

01 Overview

Speed is the whole game

A renter enquiring about a unit is almost never enquiring about one unit. They send the same message to several listings within a few minutes and then wait. The listing that answers first, with real information rather than an acknowledgement, usually gets the viewing. Everyone else gets a reply nobody reads.

Most teams know this and still cannot act on it, because the inquiries arrive in the evening, at weekends, and in the middle of a viewing somewhere else. The problem is not effort or attitude. It is that a human leasing team cannot be first, consistently, across a whole portfolio.

Fashti answers every inquiry as it arrives with the facts the renter asked for: the rent, the availability date, the deposit, what is included, and two viewing slots that genuinely exist in your calendar. It qualifies against your criteria, keeps the conversation going until the prospect is ready, and hands your team a warm applicant rather than a cold list.

  • Instant inquiry response on every channel, at any hour, in your voice.
  • Qualification against your own criteria, applied identically to every applicant.
  • Viewings offered, booked and confirmed against live calendar availability.
  • Documents and agreements requested, tracked and chased without anyone remembering to.

02 The journey

Seven stages, one continuous thread

The prospect experiences a single conversation. Behind it, each stage updates your systems as it completes.

  1. 01

    Inquiry

    Seconds

The message is read, matched to the right unit, and answered with the specific facts requested. If the unit has gone, Fashti says so and offers the closest comparable units you have available rather than losing the lead.

  2. 02

    Qualification

    Within the first exchange

Move in date, household size, income band, pets, parking, and anything else your criteria require. The questions are asked conversationally, in a sensible order, and never twice. Answers are recorded against the lead in your CRM.

  3. 03

    Viewing

Same conversation, no back and forth

Slots are offered from live calendar availability, booked on acceptance, and confirmed with the address, access instructions and the name of whoever is meeting them. Reminders go out the day before. A no show is logged and followed up once.

  4. 04

    Application

    Hours rather than days

The applicant receives one checklist instead of five separate requests: identification, proof of income, references, and whatever else your process requires. Each item is tracked, and missing or expired documents are chased automatically.

  5. 05

    Verification and recommendation

    As documents land

Fashti checks the file against your criteria and presents a clear summary with everything attached: what met the bar, what did not, and what is still outstanding. It does not approve or decline. That decision belongs to your team, and so does the record of having made it.

  6. 06

    Agreement and signature

    Same day, in most cases

Once approved, the agreement is prepared from your template with the correct unit, parties, term, rent and deposit, routed for signature, and chased until it is complete. Countersignature and the signed copy are filed back to your document storage.

  7. 07

    Handover to residency

    Before the keys change hands

The new tenancy, the move in date, the deposit position and the agreed inclusions pass straight into residential operations, so nothing is retyped and the move in checklist starts itself.

03 Division of labour

What is handed over, and what is not

The useful question is never whether automation can do something. It is whether it should.

Fashti handles

  • First response on every inquiry, in minutes, at any hour
  • Answering routine questions about rent, availability and inclusions
  • Qualifying against criteria you have written down
  • Offering, booking, confirming and reminding about viewings
  • Collecting and chasing application documents
  • Preparing agreements and running the signature process
  • Keeping the CRM current without anyone retyping anything

Your team keeps

  • Conducting the viewing and reading the room
  • The decision to approve or decline an application
  • Setting the rent and deciding on any concession
  • Negotiating terms outside your standard template
  • Anything involving a complaint, a dispute or a notice
  • Judgement calls on a borderline or unusual applicant
  • The relationship with the owner behind the property

A prospect should never be able to tell that the first reply was automatic, and should never be in any doubt that it was.

How we write the leasing conversation layer

04 Channels

Wherever the inquiry starts

A renter picks the channel, not you. Fashti answers on all of them and keeps one thread per person, even when they switch halfway through.

01 Listing portals Inquiries forwarded from the portals you advertise on are matched to the right unit and answered in the portal thread or by email.
02 Your website Enquiry forms and availability questions are handled inline, so a visitor gets an answer before they leave the page.
03 Text and messaging The channel most renters prefer for a quick question. Short, direct replies, with quiet hours respected.
04 Email and voicemail Shared leasing inboxes are read and answered. Voicemail is transcribed, triaged and followed up in writing.

05 What it moves

The four numbers leasing lives or dies on

We do not publish other people's results as though they were yours. These are the measures to hold us to, from your own baseline, on your own portfolio.

Measure one Time to first reply Measured from the moment an inquiry arrives, including nights and weekends, not from the moment somebody opened the inbox.
Measure two Inquiry to viewing rate The share of inquiries that become a confirmed, attended viewing rather than a thread that simply stopped.
Measure three Days on market How long a unit sits available, tracked per property, so you can see where the pipeline is actually slow.
Measure four Admin hours per let The staff time consumed between a listing going live and a resident collecting keys. This is the number that sets your ceiling.

Baselines are taken during the shadow period, before any workflow goes live, so the comparison is honest

06 Questions

About leasing specifically

Will prospects know they are talking to an assistant?

Yes. Fashti identifies itself as an assistant on first contact and offers a route to a person at any point. It does not adopt a human name or pretend to be a member of your staff. In our experience renters do not mind in the slightest, as long as the answer is fast and correct.

What happens when it does not know the answer?

It says so, says that a colleague will follow up, and puts the thread in the exception queue with everything attached. It does not estimate a rent, invent an availability date or guess at a policy. A wrong answer delivered quickly is worse than no answer at all.

Can it apply different criteria to different properties?

Yes. Qualification criteria, tone and viewing rules are set per property or per owner where they differ, and inherited from a portfolio default where they do not. Owners with particular requirements are common and the policy engine is built for it.

How does it handle fair housing obligations?

Qualification runs on the criteria you define, applied in the same way to every applicant, with every question and answer logged. Protected characteristics are not used as criteria, and questions that touch them are not asked. Where a conversation drifts towards a topic that should not influence a tenancy decision, it is escalated to a person rather than handled automatically.

Fashti is a tool, not a compliance guarantee. The obligations remain yours, and the audit trail exists so you can demonstrate how a decision was reached.

Does it work for a single building or only large portfolios?

Both, though the economics differ. A small portfolio tends to feel the benefit most in after hours coverage and in never losing an inquiry. A large portfolio feels it in consistency: the same standard of response applied across every property, regardless of who is on duty.
